BCWC Org Team Recruiting Two Positions: Facilities; Registrar
The five “orgs” are those who make up the Board of Directors of the Witchcamp Society of BC, and together make BCWC possible. Three members of the org are new or continuing: Ember, Velveeta, and Marie. Two are cycling off: Jade (Facilities) and Russell (Registrar). We are actively seeking applications of interest to begin a three-year term at the end of this year’s camp. These positions have the sacred work of being the first welcoming witch for all camp witches (Registrar) and doing the earth magic of making sure the facilities are also welcoming and well-organized. BCWC Facilities Organizer Job Description Summary
- Responsible for BCWC interactions with camp host (Evans Lake)
- Negotiate contract and insurance
- Ensure logistical support needed for camp to happen (storage locker and transport of locker contents to and from camp, procurement of necessary supplies, etc.)
- Coordinate daily with onsite host personnel to take care of campers’ and teachers’ needs
Primary Responsibilities include (but not limited to):
- Development of camp contract terms (dates, payments, other terms) with Evans Lake (or another provider as necessary), subject to review by other organizers and accountant when major changes occur
- Maintenance of adequate insurance coverage (Directors and Officers Liability and Special Event Liability)
- Maintenance of storage locker payments
- Responsible for Kitchen Liaison – recruiting, enrolling and assisting as necessary.
- With Fundraising Org, present work exchange applications to the organizers for decision-making
- With Fundraising Org, coordinate set up and takedown of shared spaces at camp.
Currently, this position and the Registrar are sharing financial accountability while Jade is doing the bookkeeping. New team members can share financial accounting responsibilities in whatever configuration works for the entire Organizing team.
BCWC Registrar Job Description Summary
- Respond to inquiries about scholarships, woo crew, and registration process. Registrar is often the first-line of contact welcoming new campers; good communication skills are an asset.
- Responsible for BCWC registrations and financial transactions.
- Works with the accountant to produce financial reports.
Primary Responsibilities include (but not limited to):
- Design and maintain spreadsheets of camp registrants as they come in. Note email addresses, dates and amounts of payments, applications for work exchange and scholarships from the registration form on spreadsheets.
- Receive deposits, deposit the funds in the bank (ongoing) and give detailed information relating to the deposits to the accountant as directed
- Monitor banking statements and ensure accountability for all deposits and withdrawals throughout the years. Grant scholarships as designated by organization guidelines
